Position Overview:
- Full Time: Monday to Friday
- Hours: 40 hours per week
- Pay Rate: $17.50 per hour
We are seeking a detail-oriented and proactive Billing Clerk to manage our billing operations. The ideal candidate will handle invoicing, accounts receivable, and various clerical duties, ensuring accuracy and timeliness in all tasks. This role is pivotal in maintaining our financial integrity and supporting our operational efficiency.
Key Responsibilities:
Invoicing and Documentation:
- Prepare and process customer documentation, including bills of lading, load manifests, and driver records.
- Generate and send invoices to customers, ensuring all charges such as freight costs, fuel surcharges, and accessorial fees are accurately included.
- Enter orders into the Axon system, ensuring proper information is attached and invoices are generated promptly.
Accounts Receivable Management:
- Monitor due dates and ensure timely payment of invoices.
- Send reminders or follow-ups for overdue payments.
- Maintain detailed records of each customer’s account, including payment history and outstanding balances.
- Address customer inquiries or disputes regarding invoices professionally and promptly.
Clerical and Administrative Support:
- Perform general clerical duties such as filing, document handling, and telephone operation in a safe and efficient manner.
- Sort and check for accuracy in driver documents and timesheets.
- Update customer portals as needed with correct information.
- Write and update Standard Operating Procedures (SOPs) to ensure accuracy.
Health and Safety Compliance:
- Inspect office equipment and tools for safe operation prior to use, including checking for tripping hazards and ensuring cords are properly managed.
- Record and report health and safety issues to management immediately.
- Conduct monthly facility inspections of office areas to ensure compliance with safety standards.
Qualifications:
Completion of secondary school is required.
Proven experience as a billing clerk or in a similar accounting role, preferably within the trucking or logistics industry.
Proficiency in using accounting software is an asset.
Strong organizational skills and attention to detail.
Excellent communication skills, both written and verbal.
Ability to work independently and as part of a team.
Familiarity with health and safety regulations in an office environment.
